External Access
External Access allows people outside your organisation – such as clients, suppliers, or auditors – to view, upload, and interact with specific documents in DocView Web without needing a full user account.
External Document Portal
When external access is enabled, external users receive a secure link that opens the External Document Portal. This portal provides a simplified view of the documents shared with them, including:
- Document viewer – View documents inline without downloading.
- Document approval – Review and approve or reject documents that require external sign-off.
- Document chat – If AI chat is enabled, external users can ask questions about the document content.
External Upload
Administrators can generate external upload links that allow external parties to submit documents directly into DocView Web. Uploaded files go through the same indexing and storage pipeline as internal uploads, ensuring consistency and traceability.
Security & Access Control
External access is tightly controlled:
- External links can be time-limited (expire after a set number of days).
- Access can be restricted to specific documents or document types.
- All external access activity is logged in the document history for audit purposes.
- External users cannot see other documents, users, or internal system features.
Translated Documents
If document translation is enabled, external users can view translated versions of shared documents, making it easier to work with international partners who may not read the original language.
