User Profile
The User Profile page lets you view your account details, update personal information, change your password, and review your recent login activity.
Viewing Your Profile
- Click your name or avatar in the top-right corner of the navigation bar.
- Select Profile from the dropdown menu.
Your profile page displays the following information:

| Full Name | Your first and last name as registered in the system. |
| Email Address | Your login email. This is read-only – only administrators can change it. |
| Role | Your assigned role (e.g. User, Manager, Admin, HR, Super Admin, System Admin). |
| Groups | The user groups you belong to (used for document-type visibility and permissions). |
| Last Login | Date and time of your most recent successful sign-in. |
Changing Your Password
- From the user dropdown in the top-right corner, select Change Password (or navigate to it from your Profile page).
- Enter your current password.
- Enter and confirm your new password.
- Click Save.
The new password must meet the complexity requirements configured by your administrator. Typical rules include a minimum length of eight characters, at least one uppercase letter, one lowercase letter, one digit, and one special character.

If your organisation uses Single Sign-On (SSO) via Azure Active Directory, the Change Password option is disabled because your credentials are managed by your identity provider.
Login Activity
Your profile page may display a Recent Activity section that shows your recent login timestamps, IP addresses, and session durations. This helps you spot any unauthorised access to your account. If you see unfamiliar activity, change your password immediately and contact your administrator.
Two-Factor Authentication Settings
If two-factor authentication (2FA) is enabled by your administrator, your profile page includes a section to manage your 2FA settings. You can regenerate your authenticator token or switch between email-based and app-based verification.

Keep your profile information up to date. Accurate email addresses ensure you receive workflow notifications, password-reset links, and approval requests without delay.
