Document Sharing
DocView Web makes it easy to share documents with colleagues and external parties directly from the Document Record page, without needing to download and manually email files.
Sharing via Email
- Open the Document Record for the file you want to share.
- Click the Share button or navigate to the Share tab.
- Enter one or more recipient email addresses.
- Add an optional message or note.
- Choose whether to include the file as an attachment or send a secure link.
- Click Send.
The recipients receive an email with your message and either the attached file or a link to view the document in DocView Web (depending on their access permissions).
Sharing History
Every share action is recorded in the document’s History tab. The record includes the sender, recipients, date/time, and whether the file was sent as an attachment or a link. This provides a full audit trail of who has received the document.
External Sharing
If external access is enabled, you can share documents with people outside your organisation. External recipients may receive a time-limited link or a one-time download link depending on your administrator’s configuration. See the External Access page for more details.
Permissions & Restrictions
Your ability to share documents depends on your role and the document type’s sharing settings. Some document types may restrict sharing to administrators only, while others allow any user with view access to share.
INFO
Shared document links respect the same role-based access controls as the main application. Recipients without a DocView Web account may need to use the External Access portal to view shared documents.
