Manage Users

The Manage Users page is where administrators create, edit, and deactivate user accounts. It is accessible from the left sidebar (visible to Admin, Super Admin, and System Admin roles only).

User Roles

DocView Web uses a role-based access control system with six built-in roles:

RoleAccess Level
System AdminFull unrestricted access to everything, including system-level settings and configurations.
Super AdminFull access to all modules and admin features except system-level settings.
AdminManage users, groups, document types, workflows, and day-to-day configuration.
ManagerApprove POs, expenses, and suppliers. View team reports and manage assigned tasks.
HRAccess to HR-related documents, employee records, and HR-specific workflows.
UserStandard access: upload, view, search, and share documents. Cannot access admin features.

Creating a User

  1. Navigate to Manage Users in the sidebar.
  2. Click Add New User.
  3. Enter the user’s first name, last name, and email address.
  4. Select a role from the dropdown.
  5. Assign the user to one or more groups (which control document-type visibility).
  6. Configure module access: Upload, Report, Supplier Creation, Supplier Approval, and other feature permissions.
  7. Click Save. The user receives an email with login instructions.

Editing a User

Click a user row to open their profile. You can change their name, role, group membership, and feature permissions. Click Save to apply changes. Changes take effect the next time the user logs in.

Deactivating a User

To remove a user’s access without deleting their account and historical records, click Delete on the user’s row. This deactivates the account – the user can no longer log in, but their name still appears in document history and audit logs. Administrators can reactivate an account later if needed.

Demo Users

For testing or training purposes, administrators can create demo user accounts with restricted permissions. These accounts allow new team members to explore the system without affecting production data.

When Single Sign-On (SSO) is active, the Manage Users page may be hidden because user accounts are provisioned automatically through your identity provider.
