Workflow Tasks

Workflow Tasks are the action items generated by running workflows. When a workflow reaches a step assigned to you, a task appears in your task queue, prompting you to take action.

Your Task Queue

Navigate to Workflow > Workflow Tasks in the sidebar to see all tasks assigned to you. The queue displays:

Task NameThe name of the workflow step (e.g. “Manager Approval”, “Finance Review”).
WorkflowThe name of the workflow that generated this task.
DocumentThe document or record the task relates to.
Created DateWhen the task was generated.
PriorityLow, Medium, High, or Critical (configured in the workflow design).

Completing a Task

  1. Click the task to open it.
  2. Review the associated document, any instructions, and the workflow form (if one is attached to this step).
  3. Take the required action – Approve, Reject, Complete, or a custom action defined in the workflow.
  4. Add any comments or fill in form fields as required.
  5. Click Submit. The workflow advances to the next step and the task is removed from your queue.

Delegating Tasks

If you cannot handle a task (for example, you are on leave or the task is outside your area of expertise), you can delegate it to another user. Click the Delegate button, select the target user, and add a reason. The task moves to their queue and the delegation is recorded in the workflow history.

Task Notifications

When a new task is assigned to you, you receive a notification via the notifications menu in the top navigation bar. If email notifications are configured, you also receive an email with a direct link to the task. The Dashboard also shows a summary of your pending workflow tasks.

TIP

Check your Workflow Tasks queue regularly, especially if you are an approver. Unactioned tasks can hold up the entire workflow for other users.
