Uploading Documents
DocView Web lets you upload documents into the system quickly using drag-and-drop or a file browser. Uploaded files are associated with a document type and can be indexed with metadata for easy retrieval.
Supported File Formats
DocView Web accepts a wide range of file types:
| Category | Formats |
|---|---|
| Documents | PDF, DOCX, DOC, XLSX, XLS, PPTX, PPT, TXT, RTF, CSV |
| Images | JPEG, JPG, PNG, TIFF, TIF, BMP, GIF, WEBP |
| MSG, EML |
The maximum file size is configured by your administrator (typical default: 100 MB per file).
Upload Methods
Drag and Drop
- Navigate to the Upload page from the sidebar.
- Drag one or more files from your desktop or file explorer directly onto the drop zone.
- Files appear in the upload queue immediately.
File Browser
- Click the Browse Files button in the upload area.
- Select one or more files from the file dialog.
- Click Open to add them to the upload queue.
Indexing During Upload
Before clicking the final Upload button, you can fill in the metadata fields defined for the selected document type. These fields (such as reference number, date, department, or custom values) make the document searchable later. Required fields are marked with an asterisk (*) and must be completed before the upload is accepted.
Upload to a Document Case
If the Document Cases feature is enabled, you can associate the uploaded file with an existing case by selecting the case from the dropdown during upload. This links the document to the case for grouped retrieval.
Bulk Upload
You can add multiple files to the upload queue and submit them all at once. Each file can have its own metadata values. The progress bar shows the upload status for each file individually.
External Upload
Administrators can generate external upload links that allow users outside the organisation to upload documents without logging in. External uploads go through the same indexing and storage pipeline as internal uploads.
TIP
For large batches of physical documents, consider using DocView Capture to scan and auto-index them before sending to DocView Web.
