Searching Documents

DocView Web provides powerful search capabilities to help you locate any document in the system, whether you know the exact reference number or only a few keywords.

Search fields in DocView modules perform keyword searches across document names, metadata fields, and OCR-extracted text. Type your query and press Enter to see results. Results are displayed as a paginated list sorted by relevance.

For more precise results, use the advanced search features available within each document-type list:

  • Document Type filter – Narrow results to a specific document type or sub-type.
  • Date range – Search for documents uploaded or modified within a specific date range.
  • Metadata field filters – Filter by any custom metadata field defined on the document type (e.g. supplier name, invoice number, department).
  • Status filter – Show only documents with a specific status (Active, Archived, In Workflow).

Saved Filters

Administrators can create saved filters (also called custom filters) for each document type. These pre-configured filter combinations appear as quick-access links on the document-type card, letting users apply complex criteria with a single click. For example, a saved filter might show “Unpaid Invoices from This Month” with the date range and status fields pre-filled.

Documents that have been processed with OCR (Optical Character Recognition) have their extracted text indexed for full-text search. This means you can find scanned paper documents by searching for words that appear in the document content, not just the metadata.

Search Tips

  • Use specific keywords for better results – searching for an invoice number is more precise than searching for “invoice”.
  • Combine multiple filters in advanced search to narrow results quickly.
  • If you frequently search with the same criteria, ask your administrator to create a saved filter for you.

TIP

Clicking a search result opens the full Document Record, where you can view, edit, share, or download the file.
